Role Overview
The Event Operations Lead will own the operational planning and execution of Equal Ventures’ events and summits across all verticals. This role is highly execution-oriented and is responsible for ensuring that all events run smoothly, on time, and on budget, while delivering a high-quality experience for speakers, sponsors, and guests.
Please note: This is not an investment role and does not lead to an investment position. However, we view the individual that joins our team to be a critical member when it comes to ensuring that the firm can operate effectively and be the best partner to entrepreneurs and LPs.
The Event Operations Lead will work with our team in office 4 days a week in New York City. The anticipated base salary range for this role is between $80,000 and $130,000 and will include carry as well as potential for bonus.
Key Responsibilities
Event Planning & Logistics:
Own end-to-end logistics for all Equal Ventures events and summits such as our Climate Capital Summit, Insurance Capital Summit, Emerging Manager Circle Summit, our annual Founder & LP Summits, and numerous small-scale events throughout the year.
Lead venue sourcing, site visits, and contract coordination.
Manage all vendors (AV, catering, signage, production, photography, etc.)
Build and maintain detailed run-of-show documents and production timelines.
Oversee day-of event execution, including on-site coordination and troubleshooting.
Guest & Speaker Experience
Manage guest communications, invitations, and confirmations.
Own the events@equal email inbox and respond to all inbound event inquiries.
Coordinate speaker logistics, schedules, and support in prep calls.
Ensure a seamless experience for speakers, sponsors, and attendees.
Project Management
Set timelines and milestones for each event and summit.
Conduct event kick-off meetings and working sessions.
Track progress against timelines and flag risks or delays early.
Take detailed notes, circulate action items, and hold stakeholders accountable.
Sponsorship Support
Support sponsorship outreach and coordination.
Work with sponsors to ensure delivery on agreed-upon benefits and activation.
Coordinate sponsor logistics, branding, and on-site needs.
Budget Management
Build and manage event budgets.
Track expenses and reconcile post-event spend.
Identify cost efficiencies without compromising quality.
Collaboration
Partner closely with Product Owners to plan and execute vertical summits.
Coordinate with internal team members and external partners as needed.
Qualifications & Skills
3+ years of professional experience in event production, event operations, or event management; experience in project management, operations, or marketing is a plus.
Proven ability to manage multiple events and projects simultaneously while maintaining strong attention to detail, deadlines, and follow-through.
Highly organized, with the ability to bring structure to ambiguity, prioritize effectively, and track progress.
Comfortable sourcing, negotiating with, and managing external vendors and partners.
Strong written and verbal communication skills: confident corresponding with speakers, sponsors, vendors, and guests.
Highly collaborative, with a desire to work closely with internal team members and incorporate feedback into planning, while also capable of working independently and owning execution.
Strong desire for excellence and takes pride in the detail, thoroughness, accuracy, and overall quality of their work.
